Gujutots Terms & Conditions

Gujutots aims to provide the excellent quality classes for all our customers as far as possible. Participating in a Gujutots class is entirely at your own risk without any proven negligence, breach of duty of care or lack of due diligence by Gujutots.

As parent / guardian, you are expected to stay with your child at all times. You are expected to inform Gujutots of any medical problems or disabilities at the time of booking, and as and when they arise.

Payment & Confirmation

Full payment is expected through BACS transfer, PayPal or Stripe at least 3 days prior to course commencement to secure your place. Please use your order number as reference for every payment made, and inform Gujutots in writing that you have made payment. Your place will then be confirmed.

Refunds

A course may be cancelled provided you inform Gujutots in writing within 7days of the course commencing. Notification of intent to cancel with less than 7 days to course commencement may incur 100% cancellation charge. Any refund offered is subject to a deduction in booking transaction fees

Sibling discount

Gujutots offers a sibling discount for the second child and each subsequent child if attending a Gujutots class with one full paying child in the same class.

For physical classes, a parent with two or more children will need to have either another adult or an arrangement with another parent, should they need to take one of the children to the bathroom, as the Gujutots teacher can never be responsible for your child at any time.

In an online setting, siblings discounts will only apply if siblings are present in the same class.

Renewals

You will be sent notification of the start of the new term, and can renew your class using the ClassForKids online booking system. We recommend you rebook as soon as possible as places remain on a first come first served basis.

Cancellation of Classes policy

Gujutots will endeavour to run classes through for example bad weather, however, if we have to cancel, parents will be given at least 12 hours notice except in cases of unforeseen emergencies. If Gujutots cancels a class, then parents will either be given a refund for that class, or offered a replacement class.

Cancellations can be made by text alert so please ensure we have an up-to-date mobile number.

Holidays and sickness policy

We regret that Gujutots is unable to offer credit or refunds in the event that you are unable to attend part of or the entire course, and that we are generally unable to offer an alternative to missed lessons. This includes transport difficulties, work or social commitments and holidays.

Parents are asked to keep their children at home if they have a serious or contagious infection which is still in the incubation period. We regret we cannot offer a refund for a lesson missed due to illness.

An alternative class to a missed class may be offered subject to availability, but this must be taken before the next scheduled class is due, within a period of 7 days.

Protection of property

Please note that your property left in prams or bags is your responsibility and Gujutots cannot take any responsibility for the safeguarding of these items.

Health & Safety and Hygiene Policies

Gujutots asks all parents and carers to remove their shoes while in class in order to reduce the chance of transmission of microorganisms. Shoes need to be worn to visit the bathroom within class times and care exercised to avoid slips. 


Gujutots video and photography policy

Gujutots works with children and families as part of its activities. These include the classes where children and families are invited to sing and play as part of a group to learn Gujarati.

We believe that children and young people should never experience abuse of any kind, and we have a responsibility to promote the welfare of all children and young people and to take, share and use images of children safely.

We recognise that the welfare of the children and young people taking part in our activities is paramount, and that children and their parents/carers have a right to decide whether their images are taken and how these may be used, regardless of age, disability, gender reassignment, race, religion or belief, sex or sexual orientation.

Photography and/or filming for Gujutots’ use

We will seek to keep children and young people safe by always asking for consent from a child’s parent or carer before taking and using a child’s image. We will change the names of children whose images are being used in our published material whenever possible (and only using first names if we do need to identify them). We will never publish personal information about individual children, and will make sure children, their parents and carers understand that images of children will be securely stored and for how long (including how we will control access to the images)

We will reduce the risk of images being copied and used inappropriately by only using images of children in appropriate clothing and using images that positively reflect young people’s involvement in the activity.

If we hire a photographer for one of our events, or take photos ourselves, we will seek to keep children and young people safe by providing the photographer with a clear brief about appropriate content and behaviour. We will also inform children and parents/carers that a photographer will be at the event and ensuring they give written consent to images which feature their child being taken and shared. We will not allow the photographer to have unsupervised access to children and will report concerns regarding inappropriate or intrusive photography following child protection procedures.

Videos, photographs and confidentiality - physical classes

Gujutots allows photos being taken during physical class provided it doesn't interfere with the class. In addition please always be sensitive of taking pictures of others without their permission. If you are asked to stop, please do respect the rights of others. In addition if the Gujutots teacher feels that the amount of video is excessive, not just short clips, then you may be asked to stop.

Please remember that much of the content of the class is under copyright and while we understand you may wish to practice at home, these are not to be incorporated into another public activity without our permission.

Videos, photographs and confidentiality - online classes

You are not permitted to take photographs, videos or screen recordings during online classes.

Storing images

We will store photographs and videos of children securely, in accordance with our safeguarding policy and data protection law. We will keep hard copies of images in a locked drawer and electronic images in a protected folder with restricted access in as far as is possible. Images will be stored for as long as Gujutots is trading so as to provide material for marketing if necessary.
